To protect the value of official sponsorship and exhibit opportunities and to ensure a consistent attendee experience, all promotional, advertising, marketing, hospitality, and attendee engagement activities directed toward meeting attendees must be approved in advance by Healio Live and conducted through official meeting sponsorships, exhibits, or other authorized opportunities.

Any organization, company, agency, or representative that engages in marketing or promotional activities directed toward meeting attendees outside of contracted and approved opportunities may be considered in violation of this policy.

Prohibited activities include, but are not limited to:

  • Distributing promotional materials, product information, giveaways, samples, or branded merchandise within or near the meeting venue.
  • Soliciting attendees in exhibit halls, session rooms, hotel lobbies, restaurants, transportation areas, or other public spaces.
  • Conducting sales, promotional, lead-generation, or marketing activities outside of contracted exhibit or sponsorship opportunities.
  • Displaying signage, banners, digital displays, projections, or branded materials without prior written approval.
  • Hotel advertising and promotional activities, including but not limited to key cards, elevator wraps, room drops, lobby signage, digital displays, and branded guest amenities.
  • Transportation advertising, including but not limited to airport advertising, shuttle advertising, taxi advertising, limousine advertising, vehicle wraps, mobile billboards, and branded transportation services.
  • Rideshare advertising and promotions, including but not limited to Uber, Lyft, or similar platforms, vehicle wraps, in-app advertising, sponsored pickup or drop-off locations, ride credits, promotional codes, and other rideshare marketing initiatives targeting meeting attendees.
  • Digital and location-based marketing, including geofencing, mobile advertising, digital retargeting, push notifications, social media advertising, or other campaigns specifically designed to target meeting attendees before, during, or immediately following the meeting.
  • Street teams, brand ambassadors, guerrilla marketing, experiential activations, or any other attendee-facing promotional activity not expressly authorized by Healio Live.

Healio Live reserves the right to determine, at its sole discretion, whether any activity constitutes outboarding, unauthorized marketing, or a violation of this policy.

Organizations found to be in violation may be required to immediately cease all unauthorized activities and remove associated advertising, signage, materials, or promotions. In addition, Healio Live reserves the right to impose one or more of the following remedies:

Assessment of fees equivalent to the value of the corresponding sponsorship, advertising, or promotional opportunity.

  • Revocation of current exhibitor or sponsorship privileges without refund.
  • Loss of booth selection priority, sponsorship priority, or other participation benefits.
  • Removal from the meeting venue.
  • Restriction or prohibition from participating in future Healio Live events.

Determination of a violation and any associated remedies shall be made solely by Healio Live, and all decisions shall be final.
